Documents, records, emails and SharePoint – users enthusiastic but confused

Annual survey results announced today by AIIM Europe, the Enterprise Content Management association, indicate that whilst 63% of respondents state their intention to use MOSS (Microsoft Office SharePoint Services) for document management, and 41% for records management within the next two years, only 34% have a formal plan outlining how and where it will be applied.

In order to address this uncertainty, the forthcoming AIIM Roadshow features a SharePoint Solutions Theatre where Microsoft will present the standard features of SharePoint for management of projects, documents, records, emails and web-content. Other ECM suppliers will give examples of how integration of their products with SharePoint has already produced a value-added solution for users.

Doug Miles, AIIM’s UK Managing Director, highlights the survey’s finding that 29% of UK organisations have already implemented some aspect of SharePoint 2007. “There is tremendous interest in what SharePoint can offer” says Miles. “Users are keen to compare its functionality and ease of implementation with more established ECM solutions, particularly in specific vertical markets. They also want to know how to integrate it with scanning and capture, lifecycle storage and legacy repositories.”

The AIIM Survey also shows that 28% of organisations plan to migrate their content repositories to a single ECM system over the next two years, whilst a similar percentage plan to join their repositories together under a single sign-on portal. Half of these intend to use SharePoint as the integration platform. Only 9% are looking to use Enterprise Search alone as the integration mechanism.

AIIM will address these issues and many more at its 2008 AIIM Roadshow, which visits five UK cities – Glasgow, Bolton, Coventry, Bristol and London – from April 28th to May 2nd. This year’s educational theme is “Piecing together the Information Puzzle” and industry experts will deliver information and advice throughout the week. 2008 AIIM survey reveals downturn in email archiving confidences

AIIM, the Enterprise Content Management (ECM) Association, has announced the results of its annual user survey. AIIM’s research indicates that 63% of UK respondents have little or no confidence that emails related to commitments and obligations made by themselves and their staff are recorded, complete and recoverable. This compares to 56% in last year’s survey. The figure for public sector organisations rises to over 70%. When asked, “If your organisation was sued by a former customer or citizen, how long would it take to produce all of the information related to that person?” 27% cited more than one month.

According to Doug Miles, AIIM’s UK Managing Director, “These results indicate that investment in document and email management systems is failing to keep pace with the email deluge. It also suggeststhat recent high profile cases may have alerted organisations to their potential vulnerabilities.” The research also reflects a general lack of control over all non-paper records, with 51% not confident that their electronic information is accurate, accessible and trustworthy - up from 44% last year. “For larger organisations, savings in legal discovery costs alone could justify an ECM investment,” says Miles.

The AIIM Roadshow, "Solving the Information Puzzle” April 28th to May 2nd 2008

AIIM has announced the dates for next year’s Roadshow, which will attempt to “solve the information puzzle” of ECM (Enterprise Content Management). Based on visitor feedback from last year’s show, AIIM has will provide a much stronger information track on Microsoft’s SharePoint Server 2007 (MOSS). A dedicated SharePoint Solutions Theatre will feature presentations throughout the day from Microsoft and its partners showing what SharePoint can do on its own, and how complementary products can enhance its ECM capabilities.

The Roadshow will feature its usual range of over 35 exhibitors dedicated to all aspects of document, content and records management, working with SharePoint or offering alternative solutions. Roundtable sessions will provide guidance on selection, implementation and justification for ECM investment. The popular Capture Centre will allow visitors to see their own documents and forms scanned and digitised for electronic routing and workflow processing.
